Your privacy is important to us. Our privacy policy is in line with Singapore's Personal Data Protection Act 2012 (“PDPA”). This policy pertains to the use of doculisation.com and will allow you to better understand how we collect, use, disclose, and process any personal data.


When you provide any personal data to us, you are deemed to have accepted our Privacy Policy.


Please do not provide any personal data to us if you:

i) Do not accept this Privacy Policy;

ii) Are under 18 years of age.

Personal data refers to data, whether true or not, about an individual who can be identified from that data or from other information to which an organization has or is likely to have access. Personal data can include information like your name, date of birth, contact number, marital status, residential address, gender, NRIC/passport number and email address, or a combination of the foregoing.


We will not be accountable for the accuracy, truthfulness and completeness of the personal data which you provide.

  • Passport copy


Collection of these personal data can be in the following various forms. This includes, but not limited to, when you:

  • Enquire about our services through our website;
  • Communicate with us through other known channels such as our email address, telephone or mobile text message/online messenger services, or postal mail;
  • Enquire about potential collaborative opportunities.


It is entirely up to your own discretion to release any personal information. However, if you choose to withhold them, we may not be able to attend or respond to your enquries.



PURPOSE of Use and Disclosure



Here we lay out the purposes for which personal data that you provide to us may be used and disclosed. This may include:

  • Identity verification (including doing our due diligence such as KYC and AML checks);
  • Embassies' records (if applicable);
  • Carrying out services requested by you (notarisation, drafting and reviewing of documents, etc);
  • General communication with you after engaging our services, such as progress updates;
  • Invoicing and payment processing;
  • Sending marketing information which may include updates of additional services offerings, promotions or industry developments via email, telephone or any other means (only if you have expressed interest);
  • Responding to queries, feedback or complaints from you;
  • Training employees to provide quality customer service;
  • Updating you about salient changes to our Privacy Policy, Terms of Service and/or matters which may affect you;
  • Fraud prevention and to investigate into any unlawful acts or even any suspicion thereof;
  • Pursue any form of compensation;
  • Compliance with any applicable laws, codes of practice, guidelines, rules or regulations, or to assist with request made by law enforcement, governmental, statutory or regulatory authority in Singapore (or overseas);
  • Conduct research for the purpose of improving our services, mainly in the form of statistics for market analysis;
  • In connection with any claims, actions or proceedings.

The list above is not limited to, and may continue to apply for a brief period even after the withdrawal of your consent (in instances where we uphold or carry out any of our contractual rights with you).

Exceptions to the Requirement of Consent



In cases where the PDPA permits us to collect, use or disclose your personal data without your consent, such permission granted by law will supersede.

Disclosure and Transfer of Personal Data
to Third Parties



Personal data you disclosed is generally accessible only by authorised staff. We do not sell/share/disclose personal data to third parties except for the following circumstances, when:

i) Such disclosure is necessary in the course of performing our duties for the services requested by you;

ii) Complying with the law;

iii) We have the individual’s consent or deemed consent beforehand;

iv) We engaged third parties such as data analytics companies or external vendors for specific functions or projects.


We will keep you informed and seek your consent for any such third parties engagement, whereby a transfer of data is deemed necessary. A contractual agreement (such as an NDA) will be in place for any such engagement to maintain all confidentiality. We will also make every reasonable effort to protect and safeguard the handling of any personal information during the transfer.


We generally do not transfer personal data outside of Singapore. However, in the rare event we do, we will ensure beforehand that sufficient privacy laws (comparable to the PDPA) are in place in that particular jurisdiction, and that the firm/vendor handling the transfer of personal data have adequate safeguards in place to protect the information.



ACCESS, CORRECTION, WITHDRAWAL OF CONSENT



You may at any time, request access to your personal data collected by us by notifying us. Upon receipt of your request, we will provide you with access to your data that we collected or other information (such as how we have used or disclosed your data) within 10 working days.


If you believe that any information, we hold about you is incorrect, incomplete, or outdated, please notify us.


Upon receipt of your notification for correction of data, we will correct or update the information that you furnished us with within 10 working days.


You may also withdraw your consent to our collection, use and/or disclosure of your personal data at any time by notifying us.


Upon receipt of your withdrawal of consent, we will cease (and cause any third party, if applicable, to cease) to collect, use and/or disclose your personal data, unless required or authorised under applicable law, within 10 working days.

We have introduced adequate measures in place to safeguard the information we collect to prevent unauthorised access, collection, use and disclosure of your personal data. We are committed to protecting personal data that passes through us and will continually review our measures and systems in place.


However, do be mindful that no system is perfect. We shall not be held accountable for any unauthorised access, modification, use, or disclosure of personal data by third parties whereby such acts are beyond our control.



Retention of Personal Data



We keep personal data only as long as it is necessary for essential legal or business purposes. We will cease to retain, and even delete or destroy personal data deemed no longer necessary for retention as soon as it is reasonable to assume so.

We automatically collect information in the form of cookies sent by your computer when you browse our website such us:

  • Operating system and device information, such as make and model of the device used to access our website

We may occasionally amend our Privacy Policy at our sole discretion. When material changes are made, the effective date of change will be reflected at the top of this page. The current version of the Privacy Policy, effective 1 July 2021, will determine how we collect, use, and disclose your personal data.
